Hello all,

This has turned into a bit of a novel, but I'm struggling with where things went wrong in a relationship I had established with a vendor.  I had thought we were at a good place when I emailed asking for a new quote on some parts a couple days ago, however I received some hostility in response to my request. My intent with this post is not to condemn the vendor or cause drama, but to clarify my understanding of the vendor/home slot user relationship.  I feel that maybe there may be some unwritten rules in the home slot world that I should be adhering to and I am ignorant of their existence.  I don't want to go into all the details, but will give a summary of the communications that took place and do my best to be as unbiased as possible. I know there are two sides to every story and it is my hope that I am fair to both sides.  I truly appreciated having had the vendor as a resource and am sad to see that it went the way it has.  I would like to make sure that if I am in the wrong and I should have handled things differently, that I do not repeat my mistakes moving forward.

Background:

In previous transactions the vendor has been more than helpful and timely.

Vendor is a sponsored vendor on NLG

Have spoken to the vendor about getting parts to build an Alice and the Enchanted Mirrors several times before my first email called out below, but I can't remember the timeline or what all was covered.

Vendor is aware that I needed to get this project completed by mid January as I had communicated that if I did not, I wouldn't have time to work on it for quite some time.

Timeline:

Dec. 1

I emailed the vendor with a request for a quote on some parts.  I informed him that I was getting closer to having the cash to move forward, but that I was still waiting on the sale of one of my other slot machines to help fund it.

I got a response the same day with helpful information, included quotes.

Dec. 2

I thanked the vendor for his help and suggestions, he responded with additional helpful information.  My funding issue still remained dependent on the sale of another machine so no option to move forward at this point.

Dec. 14-16

I updated the vendor on my status and that I had an offer on the slot machine I was selling and that I was able to make a couple trades locally to get some of the parts I was looking for without having to use cash to do it, which freed me up to have more cash in hand for our deal.

Dec. 19

Updated the vendor to tell him that my machine was sold and cash was in hand.  Told him I would reach out on that Monday.

Dec. 21 (Monday)

Called vendor, caught him at a bad time and was told he'd call me back soon

Dec. 29

Had not heard from the vendor, but knew he had personal matters to attend to and it was the holidays so was not surprised.  Sent an email saying as much and asked for an ETA of when he might be available and back in the office.

Jan. 5

Had not received a response, emailed again to ask when he would he thought he would be available.

Jan. 12

Had not received a response, told him that I understood that he had personal matters that he needed to attend to and that it may not be the right time for us to work out our deal.  That I would be looking into getting my NXT2 elsewhere so that I could continue on my project and would reach out to him for the remaining parts once things had returned to normal on his end.

He responded quickly and we emailed back and forth and he said that the order would complete that week.

Jan. 15 (Friday)

I hadn't heard anything about the order shipping and emailed to confirm that he didn't need anything from me to finish up the order.

Jan. 20

Since I knew he had a lot going on, I sent an email asking if it would be helpful to do a partial order of just the NXT2 so that I could move forward with getting the machine going and then finish up the order at a later point when things were back to normal for him.

After Jan. 20

I can't remember how long I waited for a response, but it was several days and I had not heard back. I left the vendor a voice mail saying that I understood that he had a lot going on and that I did not want to continue to be a pest and that I was going to reach out to other vendors to get going on my project.  That I wish it had worked out for this one and that I would reach out to him in the future.

In my mind, things left off with us having not been able to work things out, but I had not thought there were any hard feelings.  A couple days ago I sent an email to the vendor asking if he would be able to provide a quote for some parts that I am looking for currently and he responded with some hostility and suggested that I go through another vendor.  I expressed that I thought his response unwarranted.  I told him that I thought I had been fair in my dealings with him.  He responded with a still hostile tone, that he had the order ready to go for weeks before I was ready, but that because of what he had going on in his life at the time he was not able to package and ship it and that I had jumped ship on him.  My confusion, is that he had set the timeline and missed his own deadline several times before that ever happened.  I wasn't upset with him, I knew he had a lot on his plate and understood that I wasn't a priority at that time which was fine.  I also knew that my time was running out and as a customer I chose to go another direction.

I hope that I laid this out fairly and accurately and would appreciate any feedback pointing out how I may have been a poor customer.  Aside from how this played out, I like and respect this vendor.  I am legitimately confused at how this turned out and hope that someone can enlighten me on how I should have handled it differently.

Correct, that was when I was finally able to move forward.  Everything after was an attempt to complete the order.  And for clarity, I completely understood the vendors position and don't slight him in the least that it didn't work out.  I only felt that as a coustomer that if we weren't able to get the order competed by the time I needed the parts that it was acceptable to look for sources that might be able to accommodate my needs.  The only issue I have at all with the vendor is that I felt his response to my question about me looking to buy more parts from him, was much harsher than I would have expected and I felt was warranted.
